Olmo has launched an AI-powered automatic file checking system designed to help mortgage firms automate compliance reviews across every case submitted through its CRM platform.
The new feature, available immediately to all Olmo customers, uses the platform’s AI-driven task checking engine to assess cases against a configurable set of compliance requirements before they reach a human reviewer.
The system can check field completeness, document availability, identity and anti-money laundering (AML) verification, vulnerability considerations and a range of AI-powered quality assessments. Each review is accompanied by a confidence score designed to highlight potential issues before a compliance officer reviews the file.
Olmo said firms can tailor the checks to reflect their own compliance processes, with the platform allowing different requirements to be applied depending on a broker’s Competency and Supervision (CAS) status.
Under the approach, supervised advisers can be subject to more detailed file checking, while experienced advisers can follow a proportionate review process based on their competency level.
Fraser Hamilton, director at Olmo, said: “This reflects how good compliance actually works in practice. A one-size-fits-all file check either over-burdens your competent brokers or under-scrutinises your supervised ones.
“By linking checking intensity directly to CAS status, firms can run a genuinely risk-proportionate compliance process – and do it automatically, on every single case, not a 10% sample.”
FIRM-SPECIFIC COMPLIANCE RULES
The platform allows firms to configure their own compliance framework, including mandatory fields, required documentation, identity and AML checks, and AI-based quality thresholds.
Checks can also be grouped and applied conditionally to reflect individual firms’ advice standards and regulatory obligations.
According to Olmo, the AI completion assessment reviews the full case record, including client information, documents, task history and case notes, to determine whether a submission is complete rather than simply confirming that mandatory fields have been populated.
SUPPORTING COMPLIANCE REVIEWERS
Olmo said the feature is intended to improve the efficiency of compliance teams rather than replace manual oversight.
By identifying potential issues before a file reaches a reviewer, the system is designed to allow compliance staff to focus on exceptions rather than carrying out routine completeness checks.
The lender said the technology also makes it possible for firms to apply automated checks across every case, rather than relying on manual sampling.
